Privacy Policy

This Privacy Policy describes how MYeCFO, LLC (“MYeCFO,” “we,” “us,” or “our”) collects, uses, protects, and shares information in connection with ZenTaxes, our tax preparation software and service, and this website (the “Service”). It applies to visitors to this website and to clients whose tax returns we prepare or file.

1. Who We Are

ZenTaxes is a product of MYeCFO, LLC, a California financial services firm located at 6020 La Jolla Hermosa Ave, La Jolla, CA 92037. As a paid tax return preparer, MYeCFO is subject to strict federal and state confidentiality rules governing tax return information, including Internal Revenue Code §7216 and §6713, and is treated as a financial institution subject to the safeguards requirements of the Gramm–Leach–Bliley Act (GLBA) and the FTC Safeguards Rule.

2. Information We Collect

Sources. We collect this information from you, your authorized representatives, the tax forms and documents you provide, financial institutions or payroll providers you authorize, and government tax agencies.

Website technologies. Our public website loads basic service assets (such as web fonts) from infrastructure providers, which can expose standard technical information such as IP address and browser metadata to those providers. We do not use third-party advertising cookies or cross-context behavioral advertising on this website.

3. How We Use Information

Tax return information. Federal law (IRC §7216) prohibits tax return preparers from using or disclosing tax return information for any purpose other than preparing, assisting in preparing, or obtaining or providing services in connection with preparing a tax return, except with the taxpayer's knowing, written consent or as otherwise expressly permitted by law. We follow these rules. We do not sell your information, and we do not use your tax return information for marketing.

This policy is not a §7216 consent. This Privacy Policy (and your use of the website) is not a taxpayer consent under IRC §7216. When federal tax-preparer rules require consent for a particular use or disclosure of tax return information, we will obtain a separate written consent containing the required IRS language before using or disclosing that information.

4. How We Share Information

We do not sell or rent personal information, and we have not sold or shared personal information within the meaning of the California Consumer Privacy Act.

5. GLBA Financial Privacy Notice

As a tax preparation firm, MYeCFO is treated as a financial institution under the Gramm–Leach–Bliley Act. We collect nonpublic personal information about you from tax organizers, tax documents and forms, client communications, account activity, and government or financial records you provide or authorize. We disclose nonpublic personal information only to government tax agencies in connection with filing your returns, to service providers that support our operations under confidentiality obligations, to professional advisers, and to other parties as permitted or required by law or with your consent. We do not disclose nonpublic personal information to nonaffiliated third parties for their own marketing purposes, so there is nothing for you to opt out of. We provide this notice at or before establishing a client relationship, keep the current version available on this page, and will provide updated notices when required by applicable financial privacy law. When we are no longer required to retain your information, we dispose of it securely.

6. How We Protect Information

We maintain administrative, technical, and physical safeguards designed to protect taxpayer information, consistent with the FTC Safeguards Rule and IRS Publication 4557 (Safeguarding Taxpayer Data), including:

No system can be guaranteed perfectly secure, but we design and maintain our program to protect your information at every step.

7. Security Incidents

If we identify a security incident involving personal information or taxpayer information, we will investigate and mitigate it, and will provide notices to affected individuals, regulators, tax agencies, and law enforcement when required by applicable law or e-file program rules.

8. Retention

We retain tax returns, source documents, e-file authorizations, engagement records, account records, communications, and audit logs for the periods required by tax, professional, security, and legal obligations. Federal and California law require preparers to retain certain return records (generally at least three to four years); we typically retain client tax records for at least seven years. Retention periods vary by record type, and backups and legal holds may extend them. When information is no longer needed for these purposes, we securely delete, destroy, or de-identify it in accordance with our retention schedule.

9. Your California Privacy Rights

Notice at collection. We collect the following categories of personal information: identifiers (such as name, address, email, phone, SSN/ITIN); protected classification information (such as date of birth and marital/filing status); financial information (such as income, bank account, and investment records); tax return information; internet or account activity on our Service; professional or employment information; and sensitive personal information (such as SSNs, financial account details, account credentials, and tax records). We collect these categories from the sources described in Section 2, for the purposes described in Section 3, and retain them as described in Section 8.

Disclosures in the last 12 months. In the preceding 12 months, we disclosed identifiers, financial information, tax return information, internet/account activity, and sensitive personal information to tax agencies, hosting providers, document-storage providers, email/communications providers, and professional advisers for the business purposes described above. We have not sold personal information and have not shared personal information for cross-context behavioral advertising.

Sensitive personal information. We use and disclose sensitive personal information only as reasonably necessary to provide tax preparation, e-filing, account security, legal compliance, and related client services. We do not use it to infer characteristics about you or for unrelated marketing, so the CCPA's "limit use" right does not require a separate control on our Service.

Your rights. If you are a California resident, you have the right to know what personal information we collect, to request access to or deletion of your personal information, to correct inaccurate information, and to not be discriminated against for exercising these rights. Some tax records are exempt from deletion because we are legally required to keep them.

How to exercise them. Email advisors@myecfo.com or call (866) 868-4830. We will verify your identity before acting on a request and will respond within the time required by law — generally within 45 days, with an extension where permitted. You may use an authorized agent to submit a request; we may require proof of the agent's authority and may ask you to verify your identity directly unless prohibited by law.

Non-discrimination. We will not deny service, charge a different price, provide a different level of service, or retaliate because you exercised your privacy rights. Some requests may limit our ability to provide tax preparation or e-file services if information we are required to have is deleted or restricted.

10. Secure Communications and Document Uploads

Use the secure document-upload or client-account methods we provide for tax documents and sensitive information whenever available. Please do not send SSNs, bank credentials, or full tax documents through email or the public contact form unless we specifically instruct you to do so.

11. Children

This website is not directed to children and we do not knowingly collect information from children online. Information about dependents is provided to us by their parent or guardian and is used solely to prepare the family's tax returns.

12. Changes to This Policy

If we make material changes to this policy, we will post the updated version on this page with a new effective date. Your continued use of the Service after a change means the updated policy applies to information practices going forward. Changes to this policy do not retroactively modify a signed engagement agreement and do not authorize any use or disclosure of tax return information that requires a separate taxpayer consent under IRC §7216.
